What this report is
The Inventory Status Report is a Shopify analytics report that classifies every variant's stock status (In Stock, Low Stock, Out of Stock) alongside its product state (Active, Draft, Archived). It gives you an at-a-glance view of overall catalog health - which products are available, which aren't, and which shouldn't be visible to shoppers in the first place. Report Pundit makes it a free pre-built template for fast inventory hygiene reviews.

Why the Inventory Status Report matters

Most stores accumulate catalog cruft over time: Active products that are out of stock and shouldn't be, Draft products that should have been deleted, Archived products still showing up in old links. Each of these creates a small leak - a customer who lands on a page they can't buy from, a product page eating SEO juice without driving sales.

The Inventory Status Report surfaces all of this in one view. It crosses the two key catalog dimensions - product state (is the listing live?) and stock status (is the inventory available?) - and tells you exactly which combinations need attention.

Active + Out of Stock - fix urgently. Customers are landing here and bouncing. Draft + In Stock - why is sellable stock hidden? Re-activate or delete. Archived + In Stock - same question, with a longer tail. Active + In Stock - the healthy default.

This is the report ecommerce managers run before every catalog cleanup, every site refresh, and every audit.

Who uses this report - 4 scenarios

01

1. Catalog managers running a hygiene sweep

Situation
Quarterly catalog cleanup. You suspect there's drift between catalog state and stock.
Look at
Cross-tab of Product Status × Inventory Status. Focus on the four "wrong" combinations.
Decision
Re-activate, archive, or delete each mismatched listing.
02

2. Ecommerce managers protecting conversion rate

Situation
Conversion has dropped. You want to rule out "shoppers landing on dead pages."
Look at
Filter to Active + Out of Stock. Count the SKUs. Check organic traffic to them in GA.
Decision
For high-traffic out-of-stock pages, add restock notify, hide, or 301-redirect to a related product.
03

3. SEO leads cleaning up indexable URLs

Situation
You're auditing what Google indexes. Discontinued products still ranking.
Look at
Filter to Archived. Cross-reference URLs in Search Console.
Decision
301-redirect Archived URLs to live collections or related products.
04

4. Founders running quarterly catalog review

Situation
Leadership wants to see catalog mix health.
Look at
Counts in each cell of the Status × Stock matrix.
Decision
If too many Archived products are still In Stock, you have inventory tied up in items you've decided not to sell. Move stock or write it off.

How to read the Inventory Status Report

The 2×3 matrix. Three product states, three stock states (or four counting Low). Healthy stores have ~95% in Active + In Stock or Active + Low.

Active + Out of Stock. The fix-now bucket. Either reorder or hide.

Draft + In Stock. A product hidden from shoppers but holding inventory. Re-activate or transfer the stock to another SKU.

Archived + In Stock. Same question on a longer time horizon. Liquidate or delete.

Active + In Stock + zero sales last 90 days. Hidden underperformers. Promote, re-photograph, or archive.

Customization & filters

The pre-built version covers 90% of merchant needs. For the remaining 10%, common customizations:

Filter by Product Status - focus on Active, or audit Drafts and Archives

Filter by Inventory Status - focus on Out of Stock or Low

Combine both filters - e.g., "Active + Out of Stock" as a dedicated view

Add Last Sold Date - find dead-weight active inventory

Add Vendor / Product Type - for category-level catalog reviews

Automate & export

Once the report is set up the way you want it, automation does the rest:
  • Schedules — hourly, daily, weekly, monthly, or custom cron
  • Delivery formats — Excel, CSV, PDF, or push to Google Sheets in real time
  • Group by month or week — trends instead of a static snapshot
  • Destinations — email (multiple recipients), Google Sheets, Google Drive, FTP/SFTP, Looker Studio, BigQuery
  • Conditional alerts — get notified only if a channel's net sales drop more than X% week-over-week

Frequently Asked Questions

What is the Inventory Status Report?

A report that classifies every variant's stock status (In Stock, Low Stock, Out of Stock) alongside its product state (Active, Draft, Archived) - giving a one-glance picture of catalog health.

How is Inventory Status different from Inventory Level Indicator?

Inventory Status focuses on two binary-ish dimensions (Product Status × Stock Status) for catalog hygiene. Inventory Level Indicator focuses on the gradient of stock health (High / Medium / Low / Out). Run Status for catalog reviews, Level Indicator for daily ops.

What does "Active + Out of Stock" mean?

The product is live and visible to shoppers, but has zero stock. This is the urgent combination - shoppers are landing on a page that can't sell.
