What Is the Inventory on Hand Report?

The Inventory on Hand report lists every product and variant you currently stock, alongside its SKU, vendor, holding location, unit quantity, and the cost value of that stock. It answers one question directly: how many units do I physically have right now, where are they, and what are they worth at cost?

One distinction matters before you read it. "On hand" is the total number of units physically at a location, which includes units committed to open orders and units marked unavailable. It is not the same as "available," the count you can still sell. A product can show a comfortable on-hand figure while very little is actually sellable, so treat this report as your stock-position snapshot rather than a sellable-units view. The Inventory Quantity you see is live, reflecting stock at the moment the report runs rather than a midnight figure.

Which items and vendors hold the most tied-up cash?

Read Inventory Quantity against Inventory Cost, not either one alone. A variant with a modest unit count but a high cost per item can lock up more capital than a bin full of cheap stock. Sort by Inventory Cost to see where your money is sitting, then group by Vendor to check whether a single supplier accounts for an outsized share of that value. If it does, that is both a cash-flow question and a supply-chain concentration risk worth raising with procurement.

Is the same SKU split unevenly across your locations?

Filter to one SKU and compare Inventory Quantity across the Location rows. When most of a fast mover sits in one location but orders tend to ship from another, you pay for it in slower fulfillment or avoidable transfers. This is the read that tells you to rebalance stock before a busy period rather than after customers start waiting.

Which active products are sitting at zero or negative on hand?

Scan Inventory Quantity for zeros and negatives. A negative figure usually means stock was committed or sold before it was received, which points to a receiving or oversell issue to fix in Shopify. Pair each flagged row with its Vendor value and you have the start of a reorder contact list, sorted by who you need to call first.

The report's own name is the trap. "On hand" counts every unit physically at a location, which means it includes stock already committed to open orders and stock marked unavailable. So a variant can show a comfortable Inventory Quantity on this report and still keep selling out, because most of those units are already spoken for.
